These Terms of Service govern all heating, ventilation, and air conditioning (HVAC) engineering, preventive maintenance, diagnostic inspections, and technical repairs provided by HM COOLING & SERVICES, 202603229595 (TR0348610-U), a sole proprietorship registered under the Registration of Businesses Act 1956 for air conditioning services ("HM Cooling", "we", "our", or "us") to private residences, commercial enterprises, strata facilities, and corporate tenancy estates across the Federal Territory of Kuala Lumpur and the State of Selangor.

By confirming an on-site visit via telephone, WhatsApp direct dispatch, web portal reservation, or authorized corporate purchase order, the individual or organization ("the Client") expressly accepts these standardized conditions of work.

HM Cooling operates under precise technical specifications. Field technicians are instructed not to deviate from approved engineering methodology without written authorization from both the dispatch supervisor and the client.

To maintain field fidelity amid Klang Valley traffic density, appointments are reserved within standard two-hour arrival windows (e.g., 09:00–11:00, 14:00–16:00).

Our lead mobile engineer will dispatch an automated status ping and voice confirmation approximately 20 to 30 minutes prior to physical entry. If an unexpected emergency occurs on a prior emergency job (e.g., high-risk commercial refrigeration collapse), our central desk will notify you immediately with an updated timestamp or priority reschedule option.

HM Cooling operates an anti-hidden-cost policy. All base unit rates for residential wall-mounted, ceiling cassette, and commercial ducted packages mirror the official rate card displayed on our public website.

• Diagnostic Rebate: Our standard RM 69 diagnostic inspection charge is fully credited/waived against subsequent chemical overhauls, compressor retrofits, or circuit replacements authorized during the same site attendance.
• Part Authorizations: Any additional component replacement (such as contactor relays, run capacitors, blower motors, or thermistors) requires explicit on-site verbal or digital approval from the client before installation.
• Settlement Channels: Invoices are rendered upon completion and are payable via Instant DuitNow QR, major Malaysian credit cards, or online FPX corporate transfer.

For high-rise condominiums, gated residences, and commercial office towers, the client holds responsibility for ensuring smooth ingress.

The client agrees to notify building security, register our service vehicle registration plate upon request, and obtain any required Management Corporation (JMB/MC) work permits for weekend operations. If our engineering crew is denied physical entry at a security checkpoint for exceeding 45 minutes past the agreed arrival window due to unregistered contractor clearances, a modest standby relocation charge of RM 50 may apply.

To safeguard personal effects and accelerate thermal service procedures, clients are requested to clear immediate floor areas underneath indoor evaporator units (e.g., electronic items, high-value artwork, fragile furnishings).

Our technicians carry heavy-duty waterproof floor mats, catchment funnel shrouds, and architectural ladder pads. However, adequate line-of-sight and physical clearance (minimum 0.75m radius around the chassis) are required for safe disassembly.

All repairs, part installations, and overhauls conducted by HM Cooling are validated through our cloud diagnostic archive. Before and after servicing, technicians photograph the coil matrix, measure supply/return air temperatures via calibrated thermal probes, and log static motor draw.

• OEM Replacement Parts: Covered by a 90-day replacement warranty against manufacturer defects.
• Exclusions: Warranty does not extend to damages resulting from household power surges, pest infestation within outdoor condensing units, or unauthorized third-party tampering.

We understand schedules change. You may modify or cancel your booking at zero charge by contacting our support desk via telephone or WhatsApp at least two (2) hours prior to the designated arrival window.

Same-day cancellations dispatched while the technician is already in transit may incur a nominal mobilization fee of RM 40 to offset routing fuel and allocated technician labor.

HM Cooling maintains comprehensive Public Liability Insurance coverage up to RM 1,000,000 across all active job sites in West Malaysia.

Prior to opening legacy equipment (units operating beyond 8 years of life), technicians will inspect and note brittle plastic clips, sun-degraded casing plastics, and existing wall water stains. HM Cooling is not liable for structural degradation resulting solely from pre-existing age or prior unrecorded improper installations by non-certified parties.

These conditions are construed and governed in accordance with the substantive laws of Malaysia. Any disputes arising in connection with our works shall be subject to the exclusive jurisdiction of the competent courts of Kuala Lumpur.

HM Cooling reserves the right to revise these terms to align with revised Malaysian safety regulations, CIDB building guidelines, or updated engineering protocols.
